Introduction

At Fullday.Inc ("we", "us", or "our"), the provider of OnCallManager, we respect your privacy and are committed to protecting your personal data. This privacy policy will inform you about how we look after your personal data when you visit our website and use our services, and tell you about your privacy rights and how the law protects you.

Information We Collect

We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:

  • Identity Data includes first name, last name, username or similar identifier.
  • Contact Data includes email address and telephone numbers.
  • Technical Data includes internet protocol (IP) address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access this website.
  • Usage Data includes information about how you use our website and services.

Google User Data Handling

When you connect a Google account, OnCallManager uses your Google account identifier and email address to identify the connection. We store OAuth access and refresh tokens so the integrations you enable can continue working. These credentials are not included in calendar events or shared with calendar subscribers.

For Google Docs, we access the files you select or authorize for use with OnCallManager, including their identifiers, metadata, and text. Connected document text and derived embeddings may be stored in your workspace knowledge base to retrieve relevant excerpts for the optional AI answering feature described below.

For Google Calendar, a teammate must explicitly enable a public calendar for a rotation. OnCallManager creates and updates that calendar using its dedicated Google account. The calendar publishes the rotation name, assignee names (or Slack IDs when names are unavailable), and shift times. Anyone can read these details and subscribe; subscribers do not need to connect a Google account to OnCallManager. Enable this feature only for schedules your team can share publicly.

We store calendar and event identifiers, schedule details, and synchronization results to keep the calendar up to date. Pausing synchronization does not make an existing public calendar private or remove its events. Deleting a rotation queues deletion of its Google calendar; failed deletions are retained for retry. Deletion cannot recall copies that other people have already made of publicly available information.

Existing privately shared Google calendars retain their ownership and sharing permissions. Legacy personal-calendar access is used to remove only tracked ongoing or future events previously created by OnCallManager after a successful shared-calendar sync. Past and unrelated events are preserved. Google Calendar sharing permissions are requested only from the dedicated operator account for new public calendars.

We do not sell or share Google user data with third parties, except as necessary to operate our services (e.g., hosting providers, analytics tools), comply with legal obligations, or with the user's explicit consent. We disclose such data only to the extent required and ensure appropriate safeguards are in place.

We do not use any Google user data obtained through Google Workspace APIs to develop, improve, or train generalized artificial intelligence (AI) or machine learning (ML) models.

OnCallManager's use and transfer of information received from Google APIs adhere to the Google API Services User Data Policy , including its Limited Use requirements. Google user data is not sold or used for advertising or advertising targeting.

You can revoke OnCallManager's access to your Google account in your Google Account's third-party connections settings. Revoking access stops future authorized access but does not automatically erase previously stored workspace data or remove an OnCallManager-owned public calendar. To request deletion of stored Google data, contact contact.oncallmanager@gmail.com with the workspace and connection details needed to locate it. Do not send passwords or OAuth tokens.

Data Protection and Security

We use the following technical safeguards to protect sensitive data, including Google account information, OAuth credentials, selected document content, and calendar integration records:

  • Encryption in transit. We use HTTPS/TLS to encrypt data sent between your browser and OnCallManager and between OnCallManager and Google APIs.
  • Access and authorization checks. Workspace management pages require signed access links that expire. When connecting a Google account, we check the requesting user's workspace and rotation access and validate signed, expiring OAuth state against the browser session that started the connection.
  • Credential handling. Google OAuth refresh tokens and client secrets are kept on our servers. They are not included in calendar events or shared with calendar subscribers. When you select a Google document, a short-lived access token is supplied to Google Picker in your browser to allow that file selection.

Rotation details published through an enabled public calendar are publicly accessible as described in Google User Data Handling above.

AI Processing and Workspace Knowledge

OnCallManager uses Google Gemini to interpret natural-language schedule requests, create embeddings used to retrieve relevant knowledge, and generate optional runbook answers. A runbook-answer request may include the Slack question and excerpts retrieved from knowledge connected to that rotation.

With message access granted, when a teammate supplies an answer in a tracked question’s thread, OnCallManager may save the question and answer in your workspace knowledge base for later retrieval. This saved knowledge is not used to train a custom OnCallManager model. Google user data obtained through Google Workspace APIs is not used to train generalized AI or ML models.

AI-generated answers may be inaccurate. Users should verify operational guidance against the linked source documentation before taking important action.

Optional Slack Message Access

Channel message access is optional during installation. Without it, OnCallManager does not process channel conversations for auto-answering or capture replies as knowledge. Scheduling, notifications, overrides, calendar integration, commands, and form submissions remain available under their respective permissions.

Granting message access enables answers and conversation capture in public channels the app belongs to. The app joins channels selected for rotations or through an invitation. Existing installations retain previously granted access and channel memberships; admins can remove the app from channels they no longer want it to access. Changing permissions does not automatically delete previously saved knowledge.

Service Providers and Subprocessors

Google acts as a subprocessor when OnCallManager uses Gemini, Google Docs, or Google Calendar on your behalf. We may also use hosting, database, billing, email, analytics, and error-monitoring providers where necessary to operate and secure the service. These providers may process only the information required to perform their contracted services.

How We Use Your Data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • To provide and maintain our service.
  • To notify you about changes to our service.
  • To provide customer support.
  • To gather analysis or valuable information so that we can improve our service.
  • To monitor the usage of our service.

Data Retention

We will only retain your personal data for as long as reasonably necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements.

Your Rights

Under certain circumstances, you have rights under data protection laws in relation to your personal data, including:

  • The right to request access to your personal data.
  • The right to request correction of your personal data.
  • The right to request erasure of your personal data.
  • The right to object to processing of your personal data.
  • The right to request restriction of processing your personal data.
  • The right to request transfer of your personal data.
  • The right to withdraw consent.
